Describe how you would use an outdoor seating area before choosing its shape or finish. A useful brief explains the activity, its relationship to the house and the parts of the yard you want to keep open.
Explain the intended use
Describe the furniture or activities you have in mind without turning a rough idea into a fixed layout. Note whether the area is mainly for quiet use, shared meals or another purpose. Identify the route from the house and other connections that should be considered during the design discussion.
Discuss surrounding space

Ask how a proposed layout would fit those relationships. Keep an optional feature separate from the essential use so that a revised proposal can still be compared with the original purpose.
Plan for later decisions
Ask which choices need to be settled before the area can be included in a proposal. Record any dimensions or site conditions that still need checking. Keep the selected layout, material discussion and maintenance questions together rather than treating them as unrelated decisions.

Keep the next decision clear
Use photographs and examples to clarify the property question, then return to the written scope. A useful next step identifies what has been agreed, what needs assessment and who is expected to supply the missing information.
